Custom Hand Fans for Event Planners: Minimums, Timeline, and Pricing
If you're sourcing custom hand fans for an event, you probably have three questions before anything else: how many do I have to order, how much will it cost, and will it arrive in time.
Here are those answers up front, then everything else.
Minimum Order: 30 Fans Per Design
Our minimum is 30 fans per design.
Two things worth understanding about that.
It's per design, not per order. If you're producing a three-day conference and want a different fan for each day, that's three designs at 30 minimum each. If you want one design across all three days, it's a single run.
It's a genuine floor, not a starting point we'll negotiate down from. Custom production involves artwork setup, a print run, and quality control regardless of quantity. Below 30 units, the per-fan cost stops making sense for either of us. If you need fewer than 30, our ready-made collections ship immediately and require no lead time at all.
How Pricing Works
Custom fan pricing is tiered by volume, and it varies by fan size and style.
Thirty units is the entry point, which means it's also the highest per-fan rate you'll pay. Per-fan cost drops meaningfully as quantity rises — the difference between a 30-unit run and a 500-unit run is significant, not marginal.
We don't publish a flat rate because there isn't one. A 9-inch single-sided fan and a 13-inch XL double-sided fan on premium fabric are different products with different costs. Send your quantity, size preference, and event date through the quote form and you'll get real numbers rather than a range.
One note on comparison shopping: if you've seen custom fans quoted at a few dollars each, those are printed paper or plastic. That's a different product category. Ours are built with FSC-certified wood ribs and recycled fabric, designed to survive an entire event and get taken home afterward. We're not competing on price with disposable fans, and we'd rather say that plainly than surprise you at the quote stage.
Timeline: Plan for 3 to 6 Weeks
From approved artwork to delivery, budget 3 to 6 weeks door to door.
That breaks down as:
- Artwork approval — we confirm files, colors, and layout before anything goes to production. Turnaround here depends mostly on how quickly revisions come back.
- Production: 2 to 3 weeks — printing, assembly, and quality check.
- Shipping — added on top of production, varies by destination.
The practical implication: if your event is six weeks out, start now. If it's three weeks out, contact us before you assume it's impossible — but come with artwork ready.
What You Can Customize
- Full-color, edge-to-edge artwork
- Single or double-sided printing
- Logos, event branding, dates, taglines, or custom illustration
- Fan size — standard through XL
- Fabric and finish selection
The printable surface on a hand fan is considerably larger than most branded merchandise. Compared to a pen, a lanyard, or a tote tag, you have room for artwork that actually reads across a room.
Size options are worth seeing side by side — our Large Hand Fans XL collection shows the biggest format we produce.
Materials
Fans are made with FSC-certified wood ribs and recycled fabric. They're built to be reused, which matters for two reasons: guests keep them, and clients with sustainability commitments can put them in a gift bag without a conversation about single-use plastic. More detail on what goes into them is on our materials and sustainability page.
What Kinds of Events These Work For
Custom fans earn their place at any event where guests are outdoors, standing, or in a warm room:
- Corporate conferences, retreats, and offsites
- Product launches and brand activations
- Weddings, welcome bags, and bridal parties
- Outdoor festivals, Pride events, and cultural celebrations
- Client appreciation events and seasonal parties
- Destination events in warm climates
For corporate work, a branded fan functions as décor during the event and a keepsake afterward. For weddings, it can carry the date, the program, or a thank-you. For festivals, it becomes part of what the crowd looks like in every photo.
Why Fans Outlast Most Event Merchandise
Most swag ends its life on the table it was set down on. Fans get picked up because they solve an immediate problem — the room is warm and the guest is holding a drink.
That changes the math. A fan gets used during the event, photographed during the event, and carried out at the end. For planners tracking cost-per-impression rather than cost-per-unit, that difference is the whole argument.
